# Byoxon vs. Projectworks: Built-In CRM and Lightweight Lead Management

*This article compares Byoxon (BoB) and Projectworks side by side for professional services firms. It covers current 2026 pricing, the ten-user seat minimum, and the one gap that still separates the two platforms: where your sales pipeline lives.*

- Projectworks is a purpose-built consulting PSA covering time, resourcing, leave, invoicing and financial forecasting, with a lower published seat rate.
- Byoxon (BoB) covers the same delivery and finance ground and adds a built-in CRM, so a won deal becomes a budgeted project without a hand-off.
- Projectworks has announced a consulting CRM and proposals module; its pricing page lists it as coming soon on the top Unleash tier.

Projectworks is a well-regarded professional services automation platform. It was built for consultancies, and it shows. Time and expenses, resourcing, leave, invoicing and financial forecasting all sit in one product with a clean data model.

Byoxon publishes BeOnBoard (BoB), which covers the same delivery and finance ground and adds a built-in CRM. In BoB, a lead and a deal are first-class records. A won deal becomes a project without a hand-off.

That difference is narrowing. Projectworks has announced a consulting CRM and proposals module. Its own pricing page lists it as coming soon on the top Unleash tier, and its feature page says the capability is launching this year. This comparison describes what each vendor ships today, in August 2026.

## Where Projectworks is the better choice

State this first, because it decides many evaluations. Projectworks wins on several dimensions.

- **Lower published seat rate.** Build costs $17 per user per month on annual billing. Byoxon's entry rate is $34.95. If your team already runs a CRM you like, the extra CRM in Byoxon is not worth paying for.
- **Deep accounting integrations.** Xero and QuickBooks ship on Build. Sage Intacct is available on Unleash.
- **Mature multi-entity support.** Multi-office and multi-currency arrive on Scale. Multi-entity and a direct data connection arrive on Unleash.
- **Purpose-built for consultancies.** Its resourcing and forecasting models were designed for billable consulting work.
- **Structured onboarding.** The paid onboarding package covers migration and training.

## The angle: built-in CRM and lightweight lead management

Most services firms run two systems. A CRM holds leads, deals and forecasts. A PSA platform holds projects, time and invoices. The two meet at the moment a deal is won, and that meeting is usually manual.

Someone reads the closed-won record, opens the PSA tool, creates a project, and retypes the client, the scope and the budget. It takes ten minutes. The cost is not the ten minutes.

### What the seam actually costs

The cost is that no single report can answer a basic question: what did we sell this project for, and what did it cost to deliver? The sold value lives in one database. The delivered cost lives in another. Comparing them means exporting both and joining them in a spreadsheet.

Firms that cannot close that loop keep repeating the same pricing mistake. They win work at a rate that looked healthy in the proposal, deliver it at a margin nobody measures, and quote the next job from the same assumptions.

### How Projectworks handles it today

Projectworks bridges the seam with a HubSpot integration, available on the Scale tier and above. That is a real answer, not a workaround. If HubSpot is your CRM, the connection is supported and maintained.

Two conditions apply. You must run HubSpot, and you must be on Scale or higher, which lifts the rate from $17 to $24 per user per month. A firm on a different CRM, or on the Build tier, does the join by hand.

Projectworks is also closing this gap directly. Its announced CRM and proposals module covers configurable pipeline stages, AI-assisted proposal drafting, client sharing with digital signatures, and converting a won deal into a project with the budget seeded. That is a strong specification. Today it is not generally available.

### Lead-to-cash coverage, capability by capability

| Capability | Byoxon | Projectworks |
| --- | --- | --- |
| Store leads and deal stages in the platform | Included | Announced, coming soon |
| Turn a won deal into a budgeted project | Included | Announced, coming soon |
| Sync deals from an external CRM | Not required | Scale tier and up |
| Track time and expenses against a project | Included | Included |
| Plan resourcing and staff capacity | Included | Included |
| Manage leave and time off | Included | Included |
| Raise invoices from tracked time | Included | Included |
| Report project margin and forecast | Included | Included |

### How BoB handles it

BoB keeps the lead in the same database as the timesheet. A deal carries pipeline stages and an expected value. When it closes, it becomes a project, and the expected value becomes the revenue side of the profit-and-loss view. Delivered cost accumulates against it as people log hours at their cost rates.

Be clear about the scope. BoB is not a replacement for an enterprise sales platform. It has no marketing automation, no sequence engine, no lead scoring model. It is lightweight lead management: contacts, deals, stages, values and owners.

For a fifteen-person software consultancy tracking twenty open opportunities, that is usually the right size. For a firm running outbound campaigns across thousands of contacts, it is not, and you should keep your CRM.

## Pricing: read the seat minimum, not just the rate

On headline rate, Projectworks is cheaper. Build is $17 per user per month on annual billing, against $34.95 for Byoxon's entry band. Scale is $24. Only Unleash, at $41, crosses above Byoxon's entry rate.

The structural difference is the floor. Projectworks bills a minimum of ten users, in bands of five. A six-person consultancy pays for ten seats. A three-person team pays for ten seats. Byoxon has no seat minimum, and its free plan covers up to five users with no feature limitations.

Add the one-time onboarding fee, which starts at $1,000, and the first-year total for a small Projectworks deployment is higher than the seat rate suggests. Model your own first-year cost rather than comparing monthly rates alone.

Byoxon's published bands are straightforward:

| Team size | Price per user / month |
| --- | --- |
| 1-10 users | $34.95 |
| 11-49 users | $32.95 |
| 50-199 users | $29.95 |
| 200+ users | $24.95 |
| Free plan | $0 for up to 5 users, no feature limitations |

One more line belongs in the comparison. If your Projectworks plan sits beside a paid CRM subscription, add that CRM cost to the Projectworks rate before comparing. A per-seat CRM at $20 to $50 per user changes the arithmetic completely.

## Which tool fits your team

**Choose Projectworks if:**

- You already run HubSpot or another CRM you intend to keep
- Your team is comfortably above ten people
- Xero, QuickBooks or Sage Intacct is central to your finance process
- You operate several legal entities or offices
- Lowest published seat rate is the deciding constraint

**Choose Byoxon if:**

- You want pipeline and delivered margin in one report today
- Your team is under ten people and a seat minimum would sting
- You are consolidating CRM, time, analytics and HR into one subscription
- Your sales motion is relationship-led, not campaign-led
- You want to trial the full product before paying anything

## Frequently asked questions

### Does Projectworks have a built-in CRM?

Not as a generally available feature in August 2026. Projectworks has announced a consulting CRM and proposals module covering pipeline stages, AI-assisted proposals and deal-to-project conversion. Its pricing page lists the module as coming soon on the Unleash tier, and its feature page says it is launching this year. Today, firms on the Scale tier and above connect an external CRM through the HubSpot integration.

### How much does Projectworks cost?

Projectworks publishes three tiers on annual billing: Build at $17 per user per month, Scale at $24, and Unleash at $41. Monthly billing costs more. All plans carry a ten-user minimum, billed in bands of five, and one-time onboarding starts at $1,000.

### Is Byoxon a direct replacement for Projectworks?

For most small and mid-sized services firms, yes. Byoxon covers time and expenses, resourcing, leave, invoicing and project profitability, and adds CRM and HR functions in the same subscription. Firms that depend on Sage Intacct, deep multi-entity accounting, or a large existing HubSpot deployment should test those specific paths before switching.

### Why does Byoxon cost more per seat than Projectworks Build?

Byoxon's per-user price covers CRM, time management, project analytics and HR in one subscription. Compare it against your combined tool spend, not against a PSA licence alone. Byoxon also has no seat minimum and no onboarding fee, which changes the total for teams under ten people.

### Can a five-person consultancy use Projectworks?

Yes, but it pays for ten seats. The minimum is ten users on every published Projectworks plan. Byoxon's free plan covers up to five users with no feature limitations, so a five-person firm can run the full product at no cost while it evaluates.

## The bottom line

Projectworks is a capable, consultancy-focused PSA platform with a lower seat rate and strong accounting integrations. If your CRM is settled and your team is above ten people, it is a serious candidate.

Byoxon answers a narrower question: can you see, in one place, what you sold a project for and what it is costing to deliver? It keeps the deal and the timesheet in the same system so that report needs no export.

Both vendors are moving toward the same shape. Projectworks is building its CRM. Byoxon already ships one. Judge them on what you can use this quarter.
