Where Clockify or Harvest is the better choice

  • Clockify costs far less per seat. Ten people on Clockify Pro cost $79.90 a month on annual billing, with labor cost and profit reporting included. Ten people on BoB’s first tier cost $249.50.
  • Harvest invoices on every plan. Even the free plan includes invoicing and expense tracking, which suits a freelancer who needs clean bills more than margin analysis.

A worked profit example

This is an illustration of the arithmetic, not a result measured in BoB or any customer account.

A team bills 100 hours on a client project at $150 an hour. That is $15,000 in revenue. The loaded labor cost of the people who did the work, plus the project’s direct expenses, totals $9,000. Revenue minus those direct costs leaves a $6,000 contribution before overhead, a 40% contribution margin.

That $6,000 is not net profit; rent, software and admin salaries still come out of it. It shows whether the project paid for the people and costs it consumed. BoB’s “Sales to Expenses” view works this way, showing project profitability without company-wide expenses. Clockify reaches the same number on Pro with labor cost rates; Harvest needs Enterprise.

What to verify before using time data for financial decisions

A margin report is only as good as the hours and rates behind it. Before you reprice a client or cut a project, check:

  • Completeness. Everyone has logged every day in the period. Missing timesheets understate cost and flatter the margin.
  • Approval and lock. You analyze approved hours that nobody can edit afterwards.
  • Loaded cost rates. Cost rates include payroll taxes and benefits, not base salary alone.
  • Rate history. Rate changes apply from the right date and have not rewritten past entries.
  • Billed versus tracked. Write-offs, discounts and rounding are reflected, so revenue matches the invoices.
  • Overhead treatment. You know whether the report shows contribution before overhead or profit after it.
